Bill book printing: format, numbering and copies
What to print on a GST bill book, serial numbering, duplicate and triplicate copies, sizes and paper. Practical guidance for shops and small businesses.
Even with billing software, many shops, transporters and service businesses still use printed bill books: they never run out of battery and customers trust a stamped, signed bill.
What a GST tax invoice usually needs
If you are GST-registered, a tax invoice generally needs these details. Rules change, so confirm the format with your CA before printing a large batch.
- Your business name, address and GSTIN
- A serial number, unique for the financial year
- Date of issue
- Customer name and address, and GSTIN if registered
- HSN or SAC code, description and quantity
- Taxable value, GST rate and tax amount (CGST and SGST, or IGST)
- Place of supply
- Signature
Numbering and copies
Each bill book is printed with running serial numbers, so no number repeats. Common formats are duplicate (original for the customer, a copy for you) and triplicate (an extra copy for transport or accounts). Carbonless (NCR) paper makes copies without carbon sheets.
